Due to retirement, Ivry Street Medical Centre are seeking two Administration Team Members to join the practice on a permanent basis working the following:

Role 1

Monday: 8am - 12pm

Tuesday: 12pm - 4pm

Wednesday: 1pm - 5pm

Thursday: 8am - 12pm

Friday: 8am - 12pm

Role 2

Monday: 1pm -5pm

Wednesday: 8am - 12pm

Thursday: 1pm - 5pm

Friday: 1pm - 5pm

As part of the administration team, you will provide efficient and effective administrative support to the GP practice, ensuring the smooth operation of clinical and non-clinical services. The post holder will deliver excellent customer service to patients, process clinical and administrative information accurately, and utilise SystmOne (S1) to support patient care and practice operations.

Duties will include;

  • Manage incoming and outgoing correspondence, including letters, emails, and electronic communications.
  • Process patient registrations, deductions, and demographic changes.
  • Ensure patient records are accurate, complete, and up to date.
  • Scan, code, and attach documents to electronic patient records in SystmOne.
  • Process clinical reports, hospital correspondence, and other patient-related documentation.
  • Use SystmOne effectively to maintain and update patient records.
  • Workflow incoming correspondence according to practice protocols.
  • Manage recalls, searches, and administrative reports as required.
  • Greet patients and visitors in a professional and courteous manner.
  • Answer telephone calls promptly and direct enquiries appropriately.
  • Book, amend, and cancel appointments in accordance with practice procedures.
  • Prepare documentation, reports, and correspondence as required.
  • Support referral administration and tracking processes.
  • Assist with repeat prescription administration in line with practice protocols.
  • Maintain filing systems and electronic records.
  • Support practice projects and service improvements.
