Job Overview
We are seeking an organised and proactive HR & Payroll Administrator to join on a 15-month fixed term contract to cover maternity leave. The position is based in Ross-shire, north of Inverness, and will initially be fully site based, with the potential for hybrid working after successful completion of the initial training period.
Key Responsibilities
- Prepare and issue employment contracts and associated documentation.
- Coordinate and schedule interviews, ensuring a smooth candidate and manager experience.
- Maintain accurate employee records and keep HR systems up to date.
- Support managers with day-to-day HR queries and administrative requests.
- Assist with onboarding and support employee lifecycle activities.
- Provide general HR department administration, including record keeping and document control.
- Support project work where required.
- Check and process payroll-related documentation to support accurate payroll runs.
- Record and administer sickness absence documentation in line with internal processes.
- Process holiday requests and manage other employee amendments.
- Administer changes to pay rates, allowances and temporary promotions.
- Liaise with managers and payroll colleagues to ensure payroll accuracy and timely processing.
Required Skills & Qualifications
- At least 3 years' experience in an HR Administration and/or Payroll Administration role.
- Strong administrative and organisational skills with the ability to manage multiple priorities.
- Excellent attention to detail and a strong focus on accuracy.
- Proficient in Microsoft Office (including Excel for data handling and reporting).
- Experience using HRIS and/or payroll systems to maintain records and process changes.
- Confident communicator with the ability to build effective working relationships across the business.
- Strong problem-solving skills and the ability to work independently.
- Knowledge of employment processes and the ability to apply HR and payroll administration with discretion.
- Desirable: CIPD qualification or currently studying towards CIPD.
- Desirable: experience supporting payroll processes and working within a busy HR department.
- Desirable: knowledge of HR best practice and employment legislation.
