We are seeking an organised and proactive Event Coordinator to support the planning and delivery of a varied programme of events. The role combines event logistics, stakeholder coordination, budget monitoring and on-the-day delivery to ensure a professional and positive delegate experience.
The position is set to commence ASAP and will be full-time for an initial duration of 12 weeks with a pay rate of £18.80 per hour + holiday pay
Key Duties:
- Plan and coordinate events from initial brief through to successful delivery
- Manage event logistics, including venues, catering, room set-up, registration and schedules
- Monitor event budgets and expenditure, identifying potential variances and cost-effective solutions
- Maintain event plans, timelines, checklists, attendee records and supporting documentation
- Coordinate risk assessments, approvals and other event compliance requirements
- Prepare and distribute event communications, agendas and joining information
- Liaise with suppliers and internal service teams to coordinate event requirements
- Support in-person, hybrid and online events, including relevant digital platforms
- Provide on-the-day event support, resolving operational issues and last-minute changes
- Coordinate volunteers or temporary event staff where required
- Gather post-event feedback and contribute to evaluation reports and process improvements
- Ensure events meet relevant health and safety, accessibility and sustainability requirements
Selection Criteria:
- Proven experience planning and coordinating events
- Excellent organisational and time-management skills with strong attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple deadlines in a fast-paced environment
- Confident interpersonal and stakeholder management skills
- Strong problem-solving skills with a proactive and calm approach
- Proficiency in Microsoft Office and digital tools
- Experience with event registration, survey or booking platforms desirable
- Ability to work independently while following established procedures
- Collaborative approach with ability to build effective relationships with suppliers and colleagues
